Patient and lead pipeline
Stages from enquiry to consultation to treatment, with source tracking, ownership and next actions on every record.
CareSync Health needed to manage patient enquiries, appointments and follow-ups without adding work for clinicians. SpikeSecure built a patient and lead pipeline CRM with WhatsApp automation, appointment reminders and role-based dashboards designed around how clinical teams work.
CareSync Health is a healthcare provider whose front desk, clinicians and management were handling patient enquiries, appointments and follow-ups across separate tools. SpikeSecure built a custom CRM that brings patient and lead pipelines, WhatsApp follow-ups, appointment reminders and role-based dashboards into one system. The client's CTO says the CRM was adopted by clinicians with zero training because it fits how they already work.
Enquiries arrived by phone, WhatsApp and web forms and were tracked inconsistently. Follow-ups depended on individual memory, appointment reminders were manual, and management had no single view of the pipeline from first enquiry to treatment. Off-the-shelf CRMs had been tried and rejected by clinicians because they added clicks and did not reflect clinical workflows.
The objectives were: one pipeline for patient and lead enquiries, automated WhatsApp follow-ups and reminders, dashboards for front desk, clinicians and management with only the information each role needs, and an interface that clinicians would use without formal training.
Stages from enquiry to consultation to treatment, with source tracking, ownership and next actions on every record.
Automated, template-based follow-up sequences on the WhatsApp Business API, triggered by pipeline stage and inactivity, with consent recorded.
Confirmation and reminder messages ahead of appointments, rescheduling links and no-show tracking.
Front-desk queue, clinician day view and management reporting, each showing only what that role needs.
Today's list, patient context and next step within two taps, designed with clinicians and tested on their devices.
Conversion by source and stage, response times, appointment adherence and follow-up completion for management review.
The design principle was that clinicians should never feel they are doing data entry for someone else. Their view shows the day's patients, context and the single next action; everything administrative lives in the front-desk and management views. Screens were prototyped with clinical staff and iterated in weekly demos before build, which is why adoption needed no training.
We build the same pattern for clinics, hospitals, education admissions and real-estate lead management; see the CRM development page.
“The CRM they built for us actually fits how our clinicians work. Zero training needed.”

Clinicians had rejected generic CRMs because of the clicks and the mismatch with clinical workflows. For many organisations a configured Zoho or HubSpot CRM is the right, cheaper answer; SpikeSecure implements both and recommends custom only when the workflow genuinely demands it.
Through the WhatsApp Business API with pre-approved templates, patient consent recorded at first contact and opt-out handling built in.
Role-based access, audit logs, encrypted storage and backups, hosting in India and processes aligned with the DPDP Act 2023. We sign NDAs and data-processing agreements.
Custom healthcare CRMs with automation and dashboards typically cost ₹3–8 lakh at SpikeSecure and take 8–14 weeks; configured Zoho or HubSpot setups start at ₹1.5 lakh.
